Terms of Booking

Payment

  1. Bookings for the Medical Staffing Masterclass are taken via the website. Upon booking, delegates will either be able to pay by card or alternatively by stating a Purchase Order (PO) number (NHS organisations only). Places are only secure once a PO number or card payment has been made. Until then the place is provisional and could be offered to others.
  2. All courses have a limited number of spaces. Should a booking be received and the course is oversubscribed, the person booking will be contacted and offered a place on the waiting list in readiness for the next course.
  3. Once payment or a PO number is received, confirmation will be emailed to the delegate. With bookings involving a PO, this will not be accepted without the name and full details for invoicing purposes and the PO number. All courses are priced excluding VAT.
  4. If paying by PO, an invoice will be emailed to the person detailed to receive the invoice on the booking form for payment, usually within 21 days of receipt of the booking using the PO number. If this is not provided, the invoice will be sent to the person who made the booking.
  5. If payment is not made within 7 days, we will exercise our statutory right to claim interest and compensation for debt recovery costs if we are not paid according to agreed terms.

Cancellation for courses (both external and on-line)

  1. Should Jane Cole Associates cancel the course for any reason due to insufficient numbers or unforeseen circumstances, the delegate will be contacted and offered another course date in the first instance. If this is not acceptable, a full refund will be made. It is for this reason that delegates are advised that any travel arrangements involving costs are not made until the delegate has been advised that the course is going ahead. This is usually 4 weeks prior to the course. Jane Cole Associates cannot be held responsible for any travel or other costs incurred by the delegate should the course be cancelled or postponed.
  2. Once the booking has been made, should the delegate not be able to attend either a course or an on-line course, it is possible to send a substitute without any additional charge. Please note that any change of name needs to be confirmed to Jane Cole Associates by email no later than one week prior to the course or in the case of on-line courses, 1 day before. Without prior notification of non-attendance by a delegate, no refund or deferment will be made.
  3. Should the delegate cancel their place and not find a substitute to attend, the following will apply:
  4. Cancellation of place within 1 month (30 calendar days) of the course date – no refund. 100% of the course fee is payable.
  5. Cancellation of place between 1 month (30 calendar days) and 3 months of the course date – 50% refund. 50% of the course fee is payable.
  6. Cancellation of place with more than 3 months (90 calendar days) notice – 100% refund.

Dietary requirements and reasonable adjustments for external courses only

  1. To keep costs to a minimum a sandwich lunch with refreshments is provided at the venue. The venue requests that no food or drink is brought onto the premises. Only food and drink either provided or purchased by the venue should be consumed.
  2. For external courses, whilst every effort will be made, it should be noted that any dietary requirements/adjustments requested by substitute delegates may not be honoured due to short notice.
  3. Dietary requirements can be accommodated, and any requests should be e-mailed to jca@deardenhr.co.uk at least 30 calendar days prior to the course date or if less than 30 days, as soon as possible. The venue requests that delegates report any allergies in advance to ensure their catering staff are aware.
  4. The course uses a blended approach to learning although a slide projector will be used throughout the session. Course materials are provided including the slide deck and other documents. Should a delegate require any adjustments to be made to enable them to participate, these should be e-mailed to jca@deardenhr.co.uk at least 30 calendar days prior to the course.
  5. Full joining details will be emailed to the delegate approximately 4 weeks before course start date.

On-line courses

  1. On-line courses should be booked via the website. Courses can be booked singly or as a block. A discount of 15% will be applied where all five sessions are booked in one transaction only.
  2. Access to the courses will be via a link which will be sent by email 1 day prior to the session at the latest. Delegates should ensure that they provide Jane Cole Associates with the email address to which the link should be sent. Delegates are responsible for ensuring that they can access the link at the start of the course.
  3. Jane Cole Associates uses industry wide video conferencing technology (i.e. MS Teams/Zoom) and cannot be held liable for any technical failure/service interruption experienced by the delegate(s) before or during the session that is caused by or due to a failure of their own hardware, software, wi-fi or related issue.
  4. Should any technical failure/service interruption occur on the part of Jane Cole Associates that prevent the course going ahead, the session will be re-scheduled. Should there be significant service interruption during the session which causes the session to be abandoned by the delegate, the session will be non-refundable but the delegate(s) will be offered a recording of the session. In any event, a reasonable approach will be taken in discussion with the delegate.
  5. Delegates will be provided with soft copy training materials, some of which are widely available and others that have been developed by Jane Cole Associates. By agreeing to these Terms of Booking, you agree not to share training materials which have been produced by Jane Cole Associates, with others or use materials for any other purpose, including but not limited to, commercial use.
